
Exhibitors’ Information
Venue & Security
Specific details on the venue will be released a few days before the Summit starts. Do not reveal the location of the Summit or publish any information about the venue on social media before or during the event.
The following Security Protocol will be rigidly observed at the Summit: The Summit App will be your passport to the event. When you arrive at the venue, we will ask you to show the “Scan Badge” section on the Summit App, along with a form of official photo identification (e.g) Passport or Driving License. You should also expect a bag search and security inspection prior to entering the venue. We will then provide you with a wristband which you must wear for the duration of the event.
The Summit App will be used for secure communication in advance of the Summit. Download the Summit App via the links / QR code below.
You are advised not to leave valuable items or removable equipment on your stand overnight. We strongly advise you to insure any equipment and items of value. The organisers and the venue will not be held liable for any losses, theft or damage to an exhibitors’ property however caused.

Set up
Only registered delegates will gain entry to the venue during the Summit.
Arrival for exhibitors will be from 0715 on Tuesday 16th May. When you arrive, your stand will already be set up. If you have any presentation material for the screens, you can load this on the day. Please note that you can connect any screen presentation material either by taking your own laptop or connecting a USB into the screen. Please refer to AV Guide document – download here
Cleaning & Waste Disposal
Exhibitors are responsible for keeping stands tidy and for ensuring that waste is deposited accordingly. For health and safety reasons it is important that all exhibitors and contractors keep aisles and walkways clear of rubbish at all times. Any items left in the aisles are subject to being cleared away, regardless of whether they are waste or not.
Electric Lighting & Power
The installation or alteration of any electrical installation or fitting by any person other than a member of venue is strictly prohibited.
Emergency Exits, Routes & Assistance
Evacuation routes and emergency exits must not be blocked at any time. Fire stations must be visible and accessible at all times. They must not be covered or blocked. Fire stations can be fire hoses, fire extinguishers or fire alarm points.
Insurance
Exhibitors must ensure all necessary insurance cover for damage to their own goods and for possible liability in respect of injury to third parties or damage to third-party property, including the property of the venue. In some cases public liability insurance is also required.

Deliveries
If you need to send any deliveries to the venue, these can only be accepted on Monday 13th May. Please advise charlotte@frontierenergy.network by 3rd May if you intend on delivering anything to the venue so this can be facilitated. Note that the venue details will only be released the week before.
Social Media
For security reasons, please do not reveal the location in your social media posts, photographs, or video footage relating to the Africa Energies Summit on any social media channel in the run up or during the Summit from 16th – 18th May.
Photography/ Filming Rules & Permissions
Please be aware that as part of Frontier’s marketing efforts, filming and photography will take place during the event and may be used to promote future Summits. If you would prefer not to be included in any photography or filming, please email charlotte@frontierenergy.network
Do not share any images that reveal the location of the venue until after the 18th May.
We will provide you with professional photography for use, after the Summit.
